Managing the administration and coordination of the company fleet. Maintains accurate records of vehicles. Ensures compliance with governmental rules and regulations.
Key
Responsibilities:
Assist and distribute fleet and guaranty delivery on time and with the right elements
Implement and oversee Fleet Policy
Maintain all vehicle titles, registrations w/ states (plates, tags, inspection) and advise local offices how to handle renewals
Track and manage maintenance of all vehicles, advice local operations of required maintenance
Ensure DOT Federal and State vehicle inspections, annual reviews are completed in a timely manner
Coordinate with Accounting and/or Leasing Company with registrations, taxes, plates, toll passes
Report and process toll violations
Coordinate with Legal to get the insurance for new vehicles, renewals and distribute cards to drivers
Work with Claim Representative and Legal to process accident claims
Manage Business Unit Lease Program
Manage the Special Sublease Program for Subleasing Fleet Vehicles to Employees in U.S. for Strictly Personal Use including reporting the maintenance and mileage to leasing company on regular basis as required under Master Lease
Assist HR in processing paperwork for sublease programs including Employee Vehicle Subleases (if applicable), Driver Authorization Forms, Payroll Waivers, Policy Acknowledgments, etc.
Coordinate with HR in training drivers regarding the vehicle program and policy and with employee termination follow up retrieve vehicle, vehicle inspection, advise HR of any paperwork required
Work with Finance to ensure all vehicle expenses are allocated and billed back to the respective operating units and approve such expenses
Assist with disposal of units and/or sale of vehicles
Create POs in Navision / SAP for the Lease and vehicles related payments
Other duties as assigned by the Purchasing Manager
QUALIFICATIONS
2
years of experience in fleet and facility administration
DOT compliance and CSA regulations knowledge
Functional knowledge of automotive title and registration documents and processes
Excellent communication skills
Excellent analytical skills
Self-Motivated, multitasked and detail-oriented
Able to work independently in fast-paced environment
Able to work well as a member of a team
Exercise sound judgment and respect for confidential information
Excellent computer and time management skillsEstimated Salary: $20 to $28 per hour based on qualifications.
