The use of cloud services for client matters, pleadings, and billing statements Supportive on-the-job training A friendly team work environment As a receptionist at The Love DuCote Law Firm, your duties will include, but are not limited to:
1.
Greeting and Welcoming Clients:
You will be responsible for warmly greeting clients and visitors as they arrive at the office.
You will create a positive first impression and make them feel comfortable.
2.
Answering Phone Calls and Emails:
You will handle incoming phone calls and emails, directing them to the appropriate attorney or paralegal or taking messages when necessary.
Prompt and professional communication is essential.
3.
Scheduling and Managing Appointments:
You will manage the firm's appointment calendar, schedule client meetings, consultations, and court appearances for attorneys and paralegals.
You will ensure that appointments are properly scheduled, confirmed, and updated.
4.
Managing Client Intake:
You will assist in the intake process for new clients, gathering their information, scheduling initial consultations, and ensuring that all necessary paperwork is completed.
5.
Maintaining Office Organization:
You will help maintain the organization and cleanliness of the reception area and ensure that it is presentable to clients.
This includes keeping brochures, business cards, and other materials stocked and organized.
6.
Assisting with Administrative Tasks:
You will provide administrative support to the attorneys and paralegals, which may include typing, filing, photocopying, scanning documents, and preparing correspondence.
7.
Coordinating with Attorneys and Paralegals:
You will act as a liaison between clients and the attorneys or paralegals, relaying messages, scheduling meetings, and ensuring that clients receive updates on their cases.
8.
Managing Incoming and Outgoing Mail:
You will be responsible for sorting and distributing incoming mail, as well as preparing and sending outgoing mail.
This may include handling confidential and sensitive documents.
9.
Maintaining Office Supplies:
You will monitor and replenish office supplies such as stationery, paper, and other necessary items.
You will also coordinate with vendors for any equipment maintenance or repairs.
10.
Upholding Confidentiality:
You will handle confidential client information with the utmost discretion and maintain strict confidentiality in accordance with legal and ethical guidelines.
